Project Assistant – France (60) – 6 Months

Description :
Within the framework of a major infrastructure project related to the Seine-Nord Europe Canal, our engineering team is seeking an experienced Project Assistant to support the administrative, organisational and documentary management of the project.

The successful candidate will play a key role in ensuring the efficient coordination of project documentation, administrative processes and internal communications between engineering teams, project management and external stakeholders.

1. Project Administrative Management
  • Provide comprehensive administrative support to the project team, including correspondence, meeting minutes, presentations and internal documentation.
  • Organise project meetings, prepare agendas and record meeting minutes.
  • Manage project planning logistics, including travel arrangements and team event organisation.
  • Coordinate the onboarding of new team members (access badges, administrative documentation, HR-related processes).
  • Register subcontractors and suppliers through the project procurement system.
2. Document Management (GED / EDMS)
  • Upload, classify and archive technical and administrative project documentation.
  • Monitor document versions and validation workflows.
  • Ensure proper distribution of documentation across project stakeholders.
  • Track deliverables and ensure documentation compliance with project procedures.
  • Manage and maintain the document management system (such as SharePoint, ProjectWise, Mezzoteam or equivalent).
3. Technical and Operational Support
  • Prepare technical documentation packages for project meetings, audits and institutional visits.
  • Maintain project dashboards, indicators and reporting tools.
  • Support the preparation and monitoring of purchase orders, quotations, delivery notes and invoices.
  • Ensure smooth administrative coordination between all stakeholders involved in the project (engineering teams, client representatives, contractors and design offices).
4. Quality, Compliance and HSE Support
  • Assist in the implementation of project quality and safety procedures.
  • Update registers, action plans and HSE documentation.
  • Ensure traceability and proper documentation management for infrastructure project compliance requirements.
Profile :
  • Minimum 2 years of experience in a similar Project Assistant / Project Coordinator role within engineering, construction or infrastructure projects.
  • Experience supporting engineering or large infrastructure projects is highly desirable.
  • Strong organisational and administrative skills.
  • Experience with document management systems (EDMS).
  • Excellent communication and coordination skills.
  • Ability to manage multiple tasks in a dynamic project environment.
  • Document Management Systems (SharePoint, ProjectWise, Mezzoteam or equivalent)

  • Project documentation and reporting management
  • Administrative coordination in engineering environments
  • French: Professional proficiency required
